Data Deletion
Effective date: 1 January 2027 · Last updated: 1 January 2027
You can ask AIZAINOS LTD to delete your personal data at any time, and we will confirm the outcome within one month. This page explains how, what we delete, what the law requires us to keep, and how long each step takes. It reflects your right to erasure under Article 17 UK GDPR and also serves as our data deletion instructions page for apps and platforms that connect to AIZAINOS (such as Meta, Google and Microsoft sign-in or integrations).
1. Which route is right for you
You are… | What to do |
|---|---|
An AIZAINOS account holder or user | Follow section 2 or 3 below |
An organisation closing its whole account | Follow section 4 |
A lead or customer of a business that uses AIZAINOS | Ask that business first — it controls your data. If you cannot reach them, email us and we will pass on your request and help them act on it |
A website visitor or marketing contact | Email [privacy@domain] or use the form in section 3 |
2. Delete your user profile yourself
- Sign in to AIZAINOS.
- Go to Settings → Profile → Privacy.
- Select Delete my profile and confirm with your password or multi-factor code.
- You will receive an email confirming the request.
If your login is managed by your organisation, your administrator may need to remove you; you can still ask us directly.
3. Ask us to delete your data
- Online form: [domain]/privacy-request (choose “Delete my data”)
- Email: [privacy@domain], subject “Deletion request”
- Post: Privacy, AIZAINOS LTD, The Club House, 304 Anchor Road, Longton, Stoke-on-Trent ST3 5DN
Please tell us your name, the email linked to AIZAINOS and what you want deleted. We may ask you to confirm your identity; we will only ask for what we need and delete those checks afterwards.
If you connected through Facebook, Google or Microsoft
You can also remove AIZAINOS from that provider’s settings (for Facebook: Settings & privacy → Settings → Apps and websites → AIZAINOS → Remove). This stops future sharing. To delete data we already hold, use one of the routes above.
4. Closing an organisation account
An account owner can close the account from Settings → Billing → Close account, or by emailing [support@domain]. You have 30 days after closure to export Customer Data. We then delete it as shown in section 5.
5. What happens and when
Step | Timing |
|---|---|
We acknowledge your request | Within 2 working days |
We verify identity (if needed) | Clock starts once verified |
We delete live data and tell you the result | Within 1 month (up to 3 months for complex requests — we will tell you why) |
Copies in backups are overwritten | Within 35 days of deletion from live systems |
Processors we use are told to delete | At the same time as our own deletion |
Data in backups is kept encrypted and isolated, is never restored for normal use, and is overwritten on schedule.
6. What we may need to keep
The right to erasure is not absolute. We may keep limited data where we have a legal reason, and will tell you what and why:
- invoices and tax records for 6 years (HMRC and the Companies Act 2006);
- records needed to establish, exercise or defend legal claims;
- a suppression-list entry (your email only) so we never market to you again;
- security logs for up to 12 months to protect the platform and investigate fraud.
Where possible we anonymise the rest so it can no longer identify you.
7. Related rights
Instead of deletion, you can ask us to correct your data, restrict how we use it, give you a copy, or stop direct marketing. See section 9 of our Privacy Policy.
8. If you are not happy
Complain to us first at [privacy@domain] or [domain]/privacy-complaint. We acknowledge complaints within 30 days and respond without undue delay. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
